TART Trails, Inc. has created a new position for a part-time Office Manager. We are looking for a motivated individual with a positive attitude toward recreation and transportation trails to work in our downtown Traverse City office. Become an integral part of this small staff and dedicated board to help improve the quality of life in our community as we build, maintain and promote an integrated network of trails, bikeways, and pedestrian ways in the Traverse region.
The Office Manager is oftentimes the public’s first contact with TART and serves an important role in that capacity. The Office Manager is responsible for the daily operations of the office, including answering phones, providing information to Board, staff and customers, processing donations and producing thank you letters, database management and file management as well as general office management. At full-time, the manager will also be responsible for payroll and billing.
Responsibilities
- Provide reports, documents, correspondence as needed for scheduled meetings or appointments
- Manage the TART database. Prepare various letters, memos, correspondence, pledge reminders, gift acknowledgements, reports, newsletter articles and other materials
- Process payroll and manage payables
- Provide support to the Development Director and Marking & Communications Director on campaign and fundraising efforts
- Assist the Marketing & Communications Director on the development of the Tart Tales newsletter
- Maintain kiosks and brochure racks on trail, and distribute newsletters and brochures to area shops and other locations
- Assist in the coordination of special events, to include coordinating volunteers, announcements, food, etc.
- Oversee the processing and data entry of all incoming donor information, contributions, and the generation of receipts and acknowledgements.
- Work with the Trail Planning & Program Management Director on the monitoring and management of the volunteer program
- Answer phones. Maintain effective communications with Board, volunteers, and parties requesting general information
- Conduct occasional programs and presentations to groups
- Maintain inventory and order supplies as needed
- Process mail; pick up and deliver materials
- Support the Executive Director, Board and staff as required
Qualifications
- Excellent oral and written communication skills
- Enthusiasm for and understanding of TART’s mission and role in the community
- Ability to gather data, compile information and prepare reports and maintain strict confidentiality
- Knowledge of database management and Quick Books
- Ability to empower a team-oriented approach to managing and supporting TART’s mission
- Strong organizational skills and a disciplined approach to work and problem solving
- Energetic and able to work with a diverse range of people
- Self-starter and detail-oriented
- Strong computer and presentation skills
- Flexible work schedule as evening and weekend hours will be required
- Knowledge of customer service standards and procedures
- 4 year bachelor’s degree preferred
Compensation
This is a part time position (20-30 hours a week) with a competitive salary range, depending on background and experience and a flexible work schedule. The position has the potential to expand to full-time sometime in the future.

Traverse Area Recreation and Transportation Trails, Inc. is a nonprofit organization formed in 1998. TART works to enrich the Traverse area by providing an interconnected network of trails, bikeways and pedestrian ways; and encouraging their use. The TART Trails are a network over 50 miles comprised of four trail systems located in Grand Traverse and Leelanau counties and include the Boardman Lake Trail, Leelanau Trail, TART Trail, Three Mile Trail and Vasa Pathway. It is estimated that the trails serve over 200,000 users annually while preserving valuable community greenspace. TART is working to integrate these trails into the community by advocating for interconnected bike lanes, bike routes and sidewalks, and is also working to extend these trails to connect with a developing regional trails system.
